JTL DMS Order confirmations
Transfer order confirmations from JTL-Wawi to ecoDMS
ecoDMS can automatically transfer order confirmations from JTL-Wawi to ecoDMS, where they are then archived in an audit-proof manner. How to set up both JTL-Wawi and your document management system for this, you will learn in our screencast. DMS Order confirmation setup in JTL-Wawi
As a first step to set up our JTL DMS for the archiving we want, we first create a respective folder, in this case with the abbreviation “AU”. Then we create a template for the jobs under Admin -> Print/Email/Export Templates and go to Save/Edit. We want to export the whole thing as a PDF and can now name here the path where the order confirmations should be saved and how they should be named. We want to export this job as a sample and for this we go to Output -> Job -> Save.
Order confirmation setup in ecoDMS
To create a template in ecoDMS, we open the client and create a new folder in the General directory. This is then also called order confirmation accordingly and provided with the abbreviation AU. Then we drag the order confirmation template generated from JTL-Wawi into the field provided for documents and can edit it in ecoDMS. We can now adjust the status and the assigned folder here and set the document type for our case to request. You can also see which revision it is in this case. When everything is filled in, you can save the template.
Automatic archiving in ecoDMS
If you have correctly integrated the dummy text from the last video, your automatic JTL DMS archiving should now be ensured accordingly, if you finally set the check mark at the bottom left at “If recognized, automatically store in archive“. In the lower field on the right, the respective roles can be released for classification. Finally, just click Ok and your JTL DMS order confirmation template is ready.
