Let JTL Create Invoice Template
If you use JTL-Wawi, you will probably want to customize the invoice template to your company. However, this can present you with great challenges, because the operation is not exactly intuitive and requires some training. We will be happy to help you create your own template. To tell you a little more about these challenges, just read on.
The template management
You can find the template management in the menu “Admin / Print/Email export templates”.
Now you first create a template set. For all new templates, a set must be created first, even if you only want to use one template. So you create a new template by clicking on “Root / Document Sales / Invoice” in the tree in this case. Then click on “Create / Global template” at the bottom.
A new set will now be created that you can use for your customizations. Use the “Rename” button to assign a more suitable name. With “Set as default template set” you set the new template as default. Then there is a mark (*) behind your template.
To edit the template, select it, click on the arrow next to “Add” and then on “Default” to use the default JTL-Wawi template as a basis. A new template will now be created. Now just right click on the template and then click edit, or more specifically if you want to edit the mail template, fax template, etc.
It may happen that the “Edit” window does not open. In this case there is no invoice in JTL-Wawi yet, because you might have just installed freshly. Create a dummy customer and a dummy order to generate an invoice. Now you can edit the template.
Now the exciting part begins. In this editing mode, you have many different variables at your disposal with which you can assemble your calculation.
The upper block is only about the options for sending mail. You can create one template per customer group. Accordingly, you can also specify other copy or blind copy recipients in each case. If your B2C team is making a sale, you probably want to let them know rather than the B2B team.
To customize the design more easily than just using variables in a text field, click the “Edit Template” button in the upper right corner.
Now the template editor opens, with which you can edit the template more easily. Look at the settings in peace, because a wrong setting can lead to the fact that the template cannot be used.
Add attachments
If you want to add attachments to the email, e.g. your terms and conditions, you add them with the “Add” button in the upper right corner under “Attachments”.
Replace logo
The logo is replaced a little differently. To do this, go back to the tree view and click directly on “Root” – then click “Brick / Add” at the bottom. You can change the name by double-clicking on it. I called it “company logo”. Clicking on “Edit” opens the project wizard, but it is a bit too much for our purpose, so you close it by clicking on “Cancel”.
Now you see an empty template.
To insert your logo, click on “Insert / Image” in the menu at the top. You now drag a box with the mouse where the logo should appear and select “File” in the subsequent menu. Then just find the logo on your hard drive and paste it here. The building block is now completed.
