By setting up workflows in JTL-Wawi, you automate recurring workflows and relieve yourself of routine tasks during your daily business. Learn what exactly JTL-Wawi workflows are, which ones are available and follow our practical example. All this in this tutorial.

JTL-Wawi Workflows Basics - What are workflows?

Workflows are automated processes that you can set up for JTL-Wawi. This means that they are freely definable workflows along a desired process chain. An example of this would be that the shipping method is automatically changed if the term “Packstation” is included in the order. This would then be an order-related workflow. However, you can also apply them to product data, customers, purchasing, shipping, invoices, etc. Refer. Ultimately, we want this to relieve employees of routine tasks. We want to make things as easy as possible for ourselves and work time-efficiently.

JTL-Wawi Workflows Basics - The way of working

Now to the method of operation: The basic principle is always the same. There is a so-called triggering event. So for example. that an order has been created. Then one or more conditions can be attached to it. So that workflow should only apply to orders that have already been paid for. Then the condition here would be “is paid”. The last thing is the action, i.e. if the triggering event has occurred and the specified conditions are met, what action should follow. An example workflow that you can integrate into JTL-Wawi would be the change of the shipping type for dangerous goods or bulky goods.

Practical example of a workflow

To do this, you must first go to the Admin menu, in the sub-item Automations on the JTL workflows. After all, we want to set up an order-based workflow, so we go to orders. We want to create a new one manually, so we go to “Create workflow” at the bottom left. Now you should give this a meaningful name. We decide for “Bulky and dangerous goods -> Shipping method forwarding”. So that for bulky and dangerous goods orders the shipping method forwarding is selected. Now we create a new condition, so we click on it too. The position dangerous goods can be found at Order > Order positions > Positions > contains > Article > Other > Hazard number. If you have selected this, you still need to integrate your condition for bulky goods. For this you go to Order > Order items > Positions > contains > Article > General > Master data > Shipping class > Search.

Integrate conditions and actions

The operator for this condition should be set to “equal” for our case and behind it the shipping class “bulky goods” should be selected. Since I only work with a test Wawi, it is not yet integrated. If you’re interested in how to create a shipping class, post it in the comments and we’ll make another video about it. Now that we have created our conditions, it’s time for the actual action. Presses “New action” and selects the item “Change shipping method”. Here, too, you must have previously set up the shipping method “shipping company”, which must then be selected here under shipping method. Finally, make sure that only the area you want is affected by the workflow. So for us only JTL ERP. In addition, you can now specify when this workflow should take effect.

JTL-Wawi Workflows Basics - What still needs to be considered

One thing is important for us to note now. If the option “All conditions fulfilled” was selected, the article would have to be bulky goods and dangerous goods at the same time or the order would have to contain both. But we want to integrate an either-or rule. That is why we click on “one condition met”. At the end click on Save. If you want to test this directly, you can use this button to test the workflow you just created. I hope this example has clarified what workflows are all about and how they work.
