Customize Shopware Email Templates

Email templates can effectively save a lot of time and effort that can be much better invested in other business areas. Shopware also offers a corresponding function that store operators should not disregard under any circumstances.

What should be considered in this context and what are the advantages of using Shopware email templates?

The Shopware Email Template Editor

The function for creating and configuring email templates can be found under Settings > Shop > Email templates (or email templates), here all settings can be made. Business emails should always include headers and footers with company logo and T&Cs respectively, which can be easily uploaded from the computer in the headers and footers section. To avoid having to add these with every new template, general headers and footers can also be created for individual or multiple sales channels.

Furthermore, each individual template should of course be assigned a unique description. In the Flow Builder, you can then define the situation or event in which a corresponding e-mail is to be sent. The Email Templates Editor is divided into the following sections:

  • Information
    Here the function of the template is selected, a variety of options are available in the drop-down menu.
  • Options
    In this section, the subject of the email and the sender are added. However, this is only the sender’s name, not the sender’s e-mail address. (This can be adjusted under settings > Shop > Basic settings).
  • Attachments
    Any attachments can be added or uploaded from the computer in this area.
  • Email text
    Here you can enter the desired e-mail text that the template should contain.

After the template has been created, the Send e-mail icon on the right-hand side of the screen can be used to check whether the settings are correct by means of a test e-mail.

Use templates and customize them

The biggest advantage of Shopware Email Templates is the time saved, especially for recurring emails, which are by no means rare in digital times, both in marketing and sales.

Shopware 6 provides a variety of email templates by default, moreover, additional ones can be added by means of appropriate extensions. There is also the option to adapt already existing templates to your own needs, for example to make the salutation more personal. Typical use cases for email templates include:

  • Order confirmations / invoice dispatch
  • Payment reminders / reminder fees
  • New customer welcome emails / birthday greetings
  • Responses to frequently repeated customer inquiries
  • Change of responsibilities / contact persons for
  • customers or also to the workforce
  • Offer templates
  • Invitations to trade fairs or other events /
  • Events

Emails need to be answered, better early than too late. With the creation and use of Shopware email templates you save time and work as well as unhappy customers / business partners due to unanswered mails. The wide range of email templates allows you to create and configure templates for almost any option you can think of.
