How to create users and assign rights

In this article, we’ll look at role and user management in Shopware 6. Let’s say you have a sales department, a marketing department, and you also work with an agency that helps you optimize your products. Then it would be advisable to create individual users, who should not be granted the same rights. Because you don’t want the copywriter to suddenly delete your products. How this works in Shopware 6, I explain to you now. But now off to the store. Here we are in the Shopware admin area, where we will also go directly into the settings. We want to make system-specific changes and also find directly here as the first selection option “Users & Rights”. But what is the difference now?
The user contains the employee’s name, e-mail address, system username and password. So this is the basis to be able to log in to your store. The roles, are assigned to the respective users and determine what the person is allowed to change or view. Since these are attached to the user, we first create a new role. Mandatory here is the name. The description is more for you to know what it is about. The rights can then be assigned. For example, let’s put the role for sales, these people should be able to access the customer data. So we set the checkmark for “all”. These employees are allowed to view but not edit the product assortment, so we go to “view” for products and categories.

Grant different rights to the role

So what you see here is the rough division into the fields you know. If these are not known to you and you want to use e.g. with the term Rule Builder nothing can begin, then we link you top right, our Shopware Playlist, in which we have gone through the store system once completely from A to Z. You can make your settings more differentiated in the subitem “detailed privileges”. This way you can see that this role owner would not have access to all media content. If you want to change this, you can additionally set the checkmarks here. At the end we save the whole thing and have to use our admin password, because we want to make a change to the system. Now we see that this new role has been created.

This means we can now use them to assign them to a new user. So we create a new one and enter all the basic information here first. If you want the person to have all rights, you can activate the toggle switch for “Admin”. We don’t want this to happen, so we assign the role we just created to this user. The last thing we can do is assign a job title and save it. Again the admin password must be entered. And thus we have successfully created a new user who has been assigned a specific role. To make sure that only the reduced rights apply to this one, we register with it. And lo and behold, a very stripped down form of the Shopware admin area. The employee can only access the areas we specify.
