In the following tutorial, you will find out how you can use Shopify with Billbee, i.e. how to connect the two systems, how to create rules to automate your invoicing and what else Billbee can do.
Billbee describes itself as multichannel software with three main areas of focus – order processing, article management and automation. It is clear that Billbee is very broadly compatible. Whether Shopystreme or marketplaces, Billbee can be used with all of them. Among them is Shopify.
But what would you call Billbee now?
That depends on how and, above all, what you use from the software. Billbee can be used as a simple merchandise management system, but can also be used as an automated order processing and accounting tool.
But let’s make the whole thing concrete. How can Billbee be used for Shopify?
Case number 1: You are a multichannel retailer and sell on Amazon and in your Shopify store. This means you have separate order data, separate customer data and separate inventory data. Larger retailers therefore like to use merchandise management systems to minimize administrative costs. To see all this data in one system at a glance. That’s exactly what Billbee does. This means that the stock level is adjusted within Billbee. You have 20 T-shirts. Sold 3 on Amazon and 5 in the store. A stock of 12 will be displayed in Billbee.
Case number 2: A customer orders from your store. Now an invoice would have to be created, a delivery bill created, etc. Billbee does all this automatically. Case number 3: You already have a Shopify store, but now want to become a multichannel retailer, i.e. also sell on marketplaces. Then you can use Billbee to export your items from Shopify and then import them to the marketplace. This saves you a lot of time and ultimately money.
These are just 3 examples of how Billbee can support you as an online retailer. But how can you connect Shopify to Billbee?
To do this, you must go to the channel settings in Billbee. And create a new channel. You must now decide whether to link an existing or new Shopify account.
You will then be redirected to the Shopify App Store. Download and install the app here. If everything went successfully, the Shopify Access Token Code should be displayed in Billbee in the channel settings of the channel you just created. This lets you know that the two have been successfully combined.
For example, would you like to Create and send invoices automatically, you do the following. First you have to ensure that Billbee can send e-mails. For example, you will need a Gmail address, which you can store in the settings under e-mail dispatch. To do this, create an SMTP server. For Gmail, use the following data as the server name and port. Your Gmail login data will then be entered underneath. Then tick Start TLS and Standard. Save at the end. Mails can now potentially be sent. A rule is required to automatically create an invoice. We store these in the “Automation” area. Creates a new rule with the plus. The name is secondary, but it is important that it is activated. We then set “Import order” as the trigger. We use an “Or link” as a condition, namely “Restrict order status”. And then click on “Paid”. We then add a second “Or link” and the parameter “Order has a payment date”. As an action, we select “Create order document” and specifically an “Invoice”.
An invoice would then be created. But we also want to send them to the customer. We are creating a new rule for this. In this case, the trigger is “Send order document to customer” -> Invoice as document type and “Invoice only” as invoice type. As a condition, we have another OR link, again “Restrict order status” and “Paid”. And the second OR link in this case is also “Order has payment date”. What changes is the action. Here we select “Send message to buyer”. Namely “Send invoice by e-mail”. Finally, the SMTP server we have just created must be selected. This means that the invoice would be created automatically with rule 1 and sent automatically with rule 2.
But what does this cost us as an online retailer?
The first piece of good news. You can test Billbee for 30 days free of charge. A fair payment model is then applied. If you don’t sell anything, you don’t pay anything. If you sell very little, you have relatively high per-order costs. If you sell a lot, the per order amount drops to €0.04 per order.
