We have previously taken a closer look at the Zoom video conferencing tool in the episode. This episode, on the other hand, will be about Microsoft Teams. Microsoft Teams is a chat and video conferencing tool, but it can do much more than that. But in this video, we want to focus on how your company can master the current, digital workday with the help of teams.

The prerequisite for using Microsoft Teams is a Microsoft account. It may well be that you already have this because you already have other Microsoft applications in use. Should this not be the case. Here you have the possibility to register for free. Teams can be used on both desktop devices and mobile devices. However, we will focus on the desktop variants for Windows and Mac OS in this article. To be able to install this ,you have to download and install it beforehand in the header on the top right. Once that’s done and you’ve started teams, it’s straight to creating a meeting.

Microsoft Teams Tutorial - Create or schedule a meeting

If you want to use Microsoft Teams solely for video conferencing and organize your company on other platforms, then you could easily and quickly create a new meeting in the meeting area and send the link to your colleagues or employees. If you want to use the full potential of teams, we will explain later on how to do this. teams. You have two options as you can see in the meeting section – start a meeting immediately or schedule a meeting for the future.
We decide for the second. In the first field you can name the meeting and specify an estimated time period, when it is scheduled and how long it will go. Then click on schedule.
Now you can copy the invitation and send it yourself or add it to your Google Calendar and add all the people who are invited to the meeting. Thus, the person receives a link and thus access to the virtual meeting room. If you now want to enter the room yourself, click Participate and adjust your technical settings in this window. So if your camera should be switched on, which microphone source should be used, if you want to use a video background filter etc.. Once this is done, click on Participate now.

Functions within the video conference in Microsoft Teams

Now we are in the meeting, which is also made clear to you once again by the running clock in the upper left corner. Don’t be surprised if a red dot appears next to this counter. This may mean that you are having connection problems or that this meeting is being recorded. We have a very similar menu structure to Zoom, except that it is displayed at the top instead of the bottom. The people icon can be used to display the people who are in the meeting. In the same way, the invited persons would be displayed underneath, who could then be called directly. Invitations can also be sent via this method if additional employees are to attend the meeting afterwards. You can use the context menu to put a spotlight on yourself, which basically means that you will be displayed large to the other participants. In addition, you can use it to mute other participants or remove them completely. Next to it is the chat icon. Questions, links or image files can be sent here.
Reaction emojis are also available for teams, as well as the “raise your hand” command. This symbolizes to the host that you have something to say, which then allows him to unmute you. We briefly exclude the group rooms once and click on the three dots and get all the other options.

Meeting Notes / Display Options / Background Effects

The device settings include the audio and video source. Meeting options can be used to define who can bypass the waiting area and who is ultimately allowed to present.
The waiting area is effectively the state a meeting participant is in once they have clicked on the meeting link. Then the creator of the meeting must first allow it to maneuver out of the waiting area and into the actual meeting. If you have created an agenda for the meeting in advance, it can be stored under Meeting Notes. The meeting details are self-explanatory and can be e.g. be used for the host to see again what was in the invitation. The next three options are quasi display settings. So how the participants are visualized, whether as a normal gallery, large gallery or in an auditorium mode. Just try this out. If this is also grayed out for you, it means that there are still too few participants for this function.
If you have chaos and disorder in your home office, you can replace the background completely with a background effect or blur it. If your company is international, but you want to speak German, you can activate the live subtitles, which will then transfer your pronunciation into English subtitles. Good in theory, rather not very reliable in practice. If you want to record the meeting for absent employees, you can do it with “Start recording”.

Other features during the Microsoft Teams meeting

In the right field you can deactivate or reactivate your camera and the microphone. If you want to give a PowerPoint presentation or share your screen, or if you want to demonstrate something on the whiteboard similar to what we already know from the Zoom tutorial, you can do that with the Share button on the far right. If you want to use Teams as an organization software, you can create your own teams under Teams. You can choose from a template or create a completely individual and new team.

Should this be private, public or organization-wide? So be accessible only to certain people or everyone in your company. Give the team a name. Since our team is private, you will need to select the people from your YouTube team, who will then automatically gain access to the team. A channel can then still be created within this team. So for example. for the YouTube team of channel research, video editing, thumbnail design, YouTube SEO, etc.
For each channel, the tabs can then still be customized. The default map Wiki makes little sense to us, accordingly it can be deleted. But we want to integrate our YouTube channel directly for this. Therefore, you can add a website, name the tab and then just add your YouTube link. Pay attention to the “https://” at the beginning. You’ve already integrated the channel and can write about it in the posts tab and share your optimization suggestions with your team.
